Thomas Allen is Hiring an Assistant Program Director and Designated Coordinator combined position!

LOCATION: Office in West St. Paul with some occasional travel around the metro area

HOURS AVAILABLE: 40 hours per week, flexible, Monday-Friday with the opportunity to work from home after the initial training period.

JOB SUMMARY: The Assistant Program Director (APD) and Designated Coordinator (DC) position is fast-paced and independent. Candidates must be willing to be flexible with their schedule to meet the needs of the program. As an APD/DC, you will assist in oversight of the Community Living Services division as well as being responsible for ensuring that person-centered services are provided to individuals served in a manner consistent with MN 245D and the Positive Supports Rule.


  • Assist the Program Director with day to day operations of the division, including occasional on-call duties
  • Assist with writing annual reports, filing and ensuring individual's files are in compliance with policy
  • As assigned, participate in referral, admission, and service initiation planning
  • As assigned, participate in annual and semi-annual meetings for service recipients
  • Maintain a current understanding of the licensing requirements sufficient to ensure compliance throughout the division assigned.
  • Perform audits of permanent files and financials for all assigned individuals. Conduct follow-up audits
  • Oversee the implementation of corrective action identified as necessary following the review of incident, emergency, and VA maltreatment reports
  • Ensure staff competency requirements are met and staff orientation and training is provided
  • Perform day to day activities during Program Director's paid time off/ leave of absence
  • Review and approve paperwork for annual meetings of individuals served
  • Review, approve timecards and expense reports,
  • Assist with the hiring process
  • Assist with seeing individuals in the community when the division experience a staff shortage as needed
  • Attend monthly Program Manager meetings and Program meetings
  • Perform other duties as assigned


  • 4-year degree in a field related to human services
    • OR an associate (AA) degree in a field related to human services
    • OR a diploma in a field related to human services from an accredited post-secondary institution
    • OR a minimum of 50 hours of education and training related to human services and disabilities and at least four years of full-time work experience providing direct care services to persons with disabilities or persons age 65 and older, with 3 or more years of supervisory experience
  • 3 or more years of supervisory-level experience in a program providing direct support services to individuals with disabilities or those who are age 65 and older
  • Department of Human Services background clearance
  • Ability to effectively communicate in English, written and verbal
  • Valid driver's license, acceptable driving record, and proof of auto insurance required
  • Must be able to drive own vehicle and/or company vehicle (if available),
  • Ability to utilize computer programs and applications such as word processing and email
  • Exceptional ability to work effectively under pressure and meet deadlines
  • High levels of integrity, competency, and sense of urgency
  • Flexibility and nimbleness in changing environments and situations
  • Superior organizational skills
  • Must be 18 years or older
