CO - ADMIN - Office Manager

Thomas Allen is Hiring an Office Manager!

LOCATION: West St. Paul, MN. This position is in-person at our corporate office.

HOURS AVAILABLE: 40 hours/week, Monday - Friday 8am - 4:30pm with some flexibility required

JOB SUMMARY: As the Office Manager, you will be responsible for supporting Thomas Allen in providing administrative and clerical assistance to the corporate office and field employees.

DUTIES INCLUDE:

  • Hire, train, schedule, oversee, and evaluate Administrative Support staff
  • Coordinate and distribute all incoming work to Administrative Support staff
  • Work with I.T. staff in the development of databases to assist divisions as necessary
  • Oversee maintenance, supplies, and operation of all office machines
  • Forms management
  • Complete revisions and additions to all existing policy books, and maintain master files
  • Answer phones, perform operator/messaging duties and greet and assist all outside visitors in a professional and courteous manner
  • Perform word processing duties, including reviewing, revising, and creating forms and newsletters
  • Carry out clerical duties such as filing, copying, and printing
  • Mail outgoing correspondence and distribute incoming mail
  • Schedule training and conference rooms
  • Perform other duties as assigned

QUALIFICATIONS:

  • High School Diploma (or equivalent) required. Some related college experience preferred
  • 1 year of related experience and a minimum of 2 years of office experience
  • Strong phone and typing skills
  • Ability to professional communicate verbally and in writing with management, field employees, and outside vendors
  • Ability to utilize computer programs and applications such as the MS Office Suite (Word, Excel, Publisher)
  • Superior organization skills
  • Background clearance
  • Valid driver's license, reliable vehicle, acceptable driving record, and proof of auto insurance required
  • Must be 18 years or older
  • Ability to communicate in English, both written and verbally

PHYSICAL REQUIREMENTS:

  • Ability to perform sedentary work at a computer for extended periods
  • Able to occasionally lift and carry up to 50lbs
